Our Client the African Export-Import Bank AFREXIMBANK is looking to recruit for an Associate responsible for General, Technical and Administrative Support to Intra-African Trade Fairs & Exhibitions and Trade & Investment Promotion Functions.
The position holder will be required to support the IATF & Exhibitions Unit Team in preparing for and convening Intra-African Trade Fairs (IATF) as well as implementing specific interventions that seek to market or promote the flow of trade and investment between and among African countries and between Africa and Africans in Diaspora, including the following:
Responsibilities
- Supporting the planning and implementation of the Intra-African Trade Fairs, which is also a platform for facilitating Intra-African trade and investment information exchange, bringing together continental and global players to showcase their goods and services, and explore business and investment opportunities in Africa;
- Provide support such as research and analyses, event management (both virtual and physical), mission preparations, and logistics coordination for the successful implementation of the Bank’s initiatives around promoting Business Councils and various intra-African trade and investment promotion interventions that seek to support African countries, Regional Economic Communities (RECs), and the Diaspora; and
- Provide technical assistance to the Team in the form of follow-ups, monitoring the implementation of actions, scheduling meetings, preparing and generating quality reports, and ensure their effective dissemination to all stakeholders.
- Reviews and Analysis:
Preliminary preparation and review of all documentation and requests submitted by partners and stakeholders for purposes of meetings, presentations, conferences, etc.
- Assist the Team in carrying out research, analyses, and providing input in the preparation of various documents such as concept papers, proposals, and other reports for trade and investment missions, trade shows, conferences, Business Councils workshops as well as engagements with Regional Economic Communities, organized business associations, and other strategic partners;
- Assist the Team in the planning and convening the Intra-African Trade Fairs and Advisory Council meetings by assisting with recording, preparing, and dissemination of Minutes as well as reports to key stakeholders;
- Assist in receiving and providing an initial review of IATF Organizers’ reports to ensure that they are timely and complete.
- Assist with organizing various IATF meetings such as those with Event Organizers, Internal Committee, and Sub-Committee meetings and be responsible for recording, storing, and disseminating Minutes and Reports.
- Review and analyze policy reports to aid advisory support to trade and investment promotion programs and initiatives with RECs and African countries.
- Reporting
- Receive and record all IATF & Exhibitions Unit correspondences, monthly and quarterly reports from IATF Organizers and stakeholders and ensure that all required information is captured adequately to prompt quick action by Team Members.
- Provide support to the Team to source, capture, and track deals closed at IATFs and provide input to the preparation of final closeout reports on a timely basis;
- Assist with the IATF Digitization project and implementation of various promotional and marketing activities holding on the Virtual Trade Fair platform including reporting requirements.
- Promotion and Marketing
- Assist with the marketing of IATF and other trade and investment promotional programs including maintaining a stock of collaterals for promotional activities and missions.
- Responsible for managing and maintaining a database of registered trade fair exhibitors, buyers, conference delegates, and visitors, and tracking the sale of exhibition stands.
- Coordinate specific publicity and trade and investment promotional events like Conferences, Exhibitions, Road Shows, etc.
- Undertake a study on markets and policies e.g., Country profiles, sector/industry reports relevant to intra-African trade and investment.
- Administration
- Provide administrative support to the IATF & Exhibitions Unit e.g., Handling payments and expenditure.
- Support the preparation of the Unit’s Annual Work Plan and Budget for submission to Senior Management.
- Develop and follow up on action-tracking logs resulting from both internal and external meetings and missions for which actions are required.
- Liaise with relevant departments in communicating queries and feedback to stakeholders.
- Coordinate logistics and activities of external visitors including drafting of official letters, advising the Head of Unit of incoming communication, and preparing the appropriate responses as may be advised by the Head of Unit.
- Ensure that all documentation to and from the Unit is filed in the required manner for ease of accessibility while protecting the confidentiality of the documents; and
- Promptly, accurately, professionally, and courteously receive all inquiries on behalf of the Unit and record and relays messages as may be required.
Qualifications, Skills, Knowledge, and Attitude
- Bachelor’s degree in Economics, Event Management, Communications, Social Sciences, International Trade, Tourism, and hospitality, or other related disciplines from a recognized University, backed by a relevant experience of at least 5 years;
- A recognized post-graduate professional qualification in a relevant area is a must.
- Ability to research and analyze market and trade Information.
- Ability to communicate and function in a culturally diverse and change oriented setting.
- Excellent verbal and written communication skills in English and French.
- Ability to interact with senior officials of banks, corporates, and governments.
- Demonstrate organizational capabilities, including the ability to manage workload with limited supervision to attain goals.
- Being able to multitask, be proactive and able to use initiative appropriately; and
- Ability to demonstrate proof of passion and commitment to the socio-economic empowerment of African countries and the ability to support the achievement of Afreximbank’s mandate.
